Professional Email

A professional email uses your business domain name (contact@yourdomain.com) instead of a free address like Gmail or Hotmail. It is an essential tool for projecting a serious image and building trust.

What is a professional email?

A professional email is an email address tied to your website's domain name. Instead of using an address like mybusiness@gmail.com, you have a personalized address like contact@mybusiness.com or john@mybusiness.com.

This address works exactly like a regular mailbox: you can send and receive emails, manage folders, and set up signatures. The only difference is the domain that appears after the @, and that difference makes all the difference in credibility.

Why should you have a professional email?

Using a professional email brings several concrete advantages for your business.

  • Instant credibility — A client who receives an email from contact@yourdomain.com perceives you as a serious, established business. A Gmail address looks unprofessional.
  • Consistency with your site — Your email address matches your website. When a prospect visits yourdomain.com and then receives an email from the same domain, trust is reinforced.
  • Multiple addresses — You can create addresses by function: contact@, quotes@, billing@, support@. This simplifies internal organization.
  • Better deliverability — Emails sent from a properly configured professional domain (SPF, DKIM, DMARC) land in spam folders far less often.
  • Brand visibility — Every email you send reinforces the visibility of your domain name and therefore your brand.

What options are available?

Several providers offer professional email services. Here are the most common solutions.

  • Google Workspace — Google's professional suite (formerly G Suite). You get a @yourdomain.com address with the familiar Gmail interface, plus Google Drive, Calendar, and Meet. Pricing: approximately 6 USD/month per user.
  • Microsoft 365 — Microsoft's suite with Outlook as the email client, plus Word, Excel, and Teams online. Pricing: approximately 6 USD/month per user.
  • Zoho Mail — An affordable alternative with a free plan for up to 5 users. Simple and effective interface, suited for small businesses.
  • Namecheap / Hostinger — Budget-friendly providers offering professional mailboxes at low prices (approximately 1 to 3 USD/month). Ideal if you want a simple solution without a full office suite.
Tip

If you are just starting out and have a limited budget, Zoho Mail's free plan is an excellent starting point. If you need Gmail and Google Drive, Google Workspace is the most popular solution.

How do you set up a professional email?

The setup takes just a few steps, regardless of the provider you choose.

1

Choose your email provider

Compare the options above based on your needs (number of addresses, budget, features). Create an account with your chosen provider.

2

Verify domain ownership

The provider will ask you to prove that you own the domain. This is done by adding a TXT record in your domain's DNS settings. See the Connect a domain page if you need help.

3

Configure MX records

MX (Mail Exchanger) records tell the internet which server handles your domain's emails. Your provider will give you the exact values to enter in your DNS settings.

4

Create your email addresses

Once the DNS configuration is validated (this can take up to 48 hours), create your addresses: contact@, info@, yourname@, etc.

5

Set up your email signature

Add a professional signature with your name, role, business name, phone number, and the URL of your Madra website.

How does it connect to your Madra domain?

Your professional email and your Madra website share the same domain name, but they are two separate services. The website is hosted by Madra, while the emails are managed by your email provider.

Both coexist perfectly through DNS records: the A or CNAME records point to your Madra site, and the MX records point to your email provider. No conflict is possible.

If you need help configuring DNS, Madra support can guide you through the setup. You can also ask your email provider directly, as they typically have detailed tutorials available.

Info

Professional email is independent of your Madra subscription. You subscribe to and manage it directly with the provider of your choice. Madra does not charge any extra fee for the necessary DNS configuration.
